The different kinds of tasks available in Volaby and when to use each

Volaby supports several task types, each designed for a different step in your volunteer onboarding or management process. The type you choose determines what the task looks like, who completes it, and what features are available.

User Completes Task

The default task type. A form with customisable fields that volunteers complete themselves. Use for application forms, induction checklists, policy acknowledgements, surveys, and any information collection.

Best for: volunteer applications, training acknowledgements, feedback forms, profile updates.

Manager Task

A task that is completed by a program manager or admin on behalf of the volunteer. The volunteer cannot see or fill in the form — only managers can. Use for internal assessments, interview notes, or background check records that volunteers should not edit.

Best for: interview assessments, internal notes, manager-completed reference checks.

Scheduled Event Task

A task that represents a meeting, interview, or training session that a volunteer must attend. Supports:

  • Virtual or in-person locations

  • Self-booking (volunteers choose from available time slots) or manager-scheduled

  • Configurable time slots with capacity limits

  • Outcome recording after the event

Best for: onboarding interviews, induction sessions, orientation days, training workshops.

Referee Check Task

A task that collects references from external contacts nominated by the volunteer. The volunteer enters their referees' contact details, and each referee receives a secure link to submit their reference online. You configure:

  • Number of referees required (1–10)

  • Custom fields for the reference form

  • Instructions shown to referees

Best for: reference checks, character references, professional references.

Payment Task

A task that collects a payment from the volunteer via Stripe. Supports one-time payments with automatic task completion on successful payment. Requires a Stripe integration to be configured in Admin Console → Apps.

Best for: membership fees, uniform deposits, training course fees, event registrations.

Available on Pro plan only.
