Individual Session Reports

Collect a separate report from each volunteer for the same session, with per-person attendance, editing and dashboard roll-up.

Most sessions use a single shared report. Individual Session Reports let each volunteer submit their own copy of the report fields for the same session — useful when every volunteer's activity, output or reflection is different, such as mentoring, tutoring, or per-person hours.

Enabling individual reports

Individual reports are set per session. When adding or editing a session, open the Advanced section and turn on Enable Individual Reports. Then choose a mode:

  • Optional — volunteers may submit an individual report, and Volaby counts what comes in.

  • Mandatory — every attending or rostered volunteer is expected to submit, and the session tracks who still hasn't.

How volunteers submit

A volunteer completes their own report with the session's report fields plus their own attendance. If check-in and check-out is enabled they record their check-in and check-out times; otherwise they confirm whether they attended. Volunteers can edit their report after submitting.

Managing submissions

Managers see a roll-up for each session showing everyone's status, including a submitted count for mandatory reports. Managers can open any volunteer's report to edit it, and can submit a report on behalf of a volunteer who hasn't done so themselves — attendance and check-in and check-out are recorded for that volunteer.

In the Impact Dashboard

Sessions with individual reports are expandable in the detailed Impact Dashboard. Expanding a row reveals an 'Individual Responses' table listing each volunteer with their answers, and their check-in and check-out times where enabled. Numeric responses from individual reports roll up into your dashboard totals.
