Managing Organisation Resources

Creating, editing and sharing resources with your volunteers

Resources are files and documents you share with your volunteers through Volaby, such as training materials, policy documents, safety procedures and guides. They're organised into categories and can be scoped to specific programs, activities, roles or tags.

Where Resources live

Navigate to Resources from the main menu. The landing page shows categories with up to five resources each, with featured resources given priority. Click a category name to see everything in it.

Creating a resource

  1. Navigate to Resources and click Add New

  2. Select New Resource

  3. Give the resource a name and choose a category (or create a new one)

  4. Add content using the rich text editor

  5. Attach files up to 10 MB each

  6. Click Save Changes

Featured

Mark a resource as featured to pin it at the top of its category. Toggle this on or off at any time from the resource editor.

Who can see this resource

By default, every volunteer in the organisation can see every resource. To limit visibility, use the scoping options:

  • Programs — limit to volunteers in specific programs

  • Activities — limit to volunteers enrolled in specific activities

  • Activity Roles — limit to volunteers with specific roles

  • Activity Tags — limit by tag

  • Permission Level — limit to a specific permission level (General Volunteer, Activity Leader, Program Manager, Admin)

Categories

Categories are folders for your resources. You can create, rename, reorder, and delete categories from the Resources page. Each category can have its own icon and colour to help volunteers visually identify different types of content.

Categories can be reordered using the drag handle, and the order you set is reflected on the volunteer-facing Resources page.

A resource can only belong to one category at a time. To move a resource, open it, click Edit, change the category dropdown and save.

Deleting a category deletes all resources inside it, so move any resources you want to keep to a different category first.

Editing and deleting resources

Click the resource name to open it, then click Edit in the top right. You can change the name, category, content, attachments and visibility settings. Click Save Changes when done.

To delete a resource, scroll to the bottom of the editor and click Delete this resource. Confirm to delete.

Permissions

Admins can create, edit and delete resources for the whole organisation. Program Managers can manage resources within their programs.
