Refreshed Onboarding, Role & Activity Applications and Application Availabilities

Onboarding & Applications:

We're proud to release a long-awaited Volaby feature, alongside a refreshed onboarding experience for admins, managers and volunteers alike! New users can now apply for roles, activities and submit their availability all during the application process.

On application approval, Volaby will automatically move these people right where they need to be - into activity teams, waitlists, roles and more.

  • Admin Console:

    Onboarding

    Within the Admin Console, in the Onboarding tab, you'll now find a range of new options to enhance the application and onboarding experience.

    Options include:

    • Activity Preferences & Enrolment

      Allow users to indicate to managers, during the application process, which activities they would like to join. Volunteers will be able to see the activity name, recurrence, upcoming dates and description. Any tasks associated with a particular activity, within the 'Onboarding' task category, can be completed by volunteers within the application stage.

    • Simple Availability

      Allow users to indicate a simple availability recurrence. This includes Am/Pm availability, as well as a Weekly, Fortnightly or Monthly option.

    • Enhanced Availability

      New users, when applying for activities, will be presented with options to indicate availabilities against occurrences, or rosters, similarly to the Availability Centre. Availabilities will transfer directly to a user's account, and be visible on rosters, if a new user is added to the team.

    • Apply for Roles

      Applicants can apply for roles directly during the application phase and complete any associated tasks.

    Roles

    We've refreshed and updated the roles window to improve speed, provide greater visibility over role details and allow for roles to be applied for.

    When editing a role, you will note a new option for 'Users can apply'. When toggled on, along with the 'Apply for Roles' toggle in the Onboarding tab of the Admin Console, volunteers will be able to directly apply for these roles.

  • Applicant & New User Onboarding View

    We've updated the application and onboarding flow to be easier for users to navigate and more quickly complete required tasks. Additionally, we have added options for users to submit availability, activity preferences and role applications.

    When turned on, via the Admin Console, these new options will appear under the 'Additional' section.

  • Manager View & Applicant Review

    We updated the incoming view to include new these new features, and give managers plenty of control. When clicking on a user, to view their application, you will now see a list of role and activity applications, alongside availability, if turned on via the Admin Console.

    Reviewing Role Applications

    Role applications have two actions - Approve and Reject.

    Approve

    Approved applications will automatically enrol the volunteer into that role at when their entire user application is approved.

    Reject

    Rejected applications will prevent the user from re-applying during the application phase, but not prevent managers from adding users into that role at a later time.

    The status of a role application can be updated at any time.

    Reviewing Activity Applications

    Activity applications have four actions - To Team, To Application, To Waitlist and Reject.

    To Team

    These activity applications have been approved and when a user's entire application is approved, they will be automatically enrolled into this activity team. If Complex Availability is turned on (via Admin Console), this user's availability will also be directly transferred to rosters.

    To Application

    These activity applications will be moved to 'Activity Applications', visible in Activity Management or the Volunteer Database, for approval or rejection at a later date.

    To Waitlist

    These activity applications will be moved to 'Activity Waitlist', visible in Activity Management or the Volunteer Database, for approval or rejection at a later date.

    Reject

    Rejected applications will prevent the user from re-applying during the application phase, but not prevent managers from adding users into that activity at a later time. Users may also re-apply once their user application has been approved and they move past the onboarding phase.

    The status of an activity application can be updated at any time.

Fixes:

  • Session reports not showing to Activity Leaders when 'Restricted Visibility' was enabled, now resolved.
