Features & Enhancements:

Role Applications:

Volunteers can now apply for roles through a new configurable application workflow. Admins can configure each role with one of four application modes:

  • Auto Approval β€” Volunteer is granted the role immediately on application.

  • Complete Tasks β€” Volunteer completes assigned tasks, then the role is automatically granted.

  • Tasks & Review β€” Volunteer completes tasks, then a manager reviews and approves the application.

  • Review, Tasks & Approval β€” Manager screens the application first, volunteer completes tasks, then the manager gives final approval.

Volunteers can view available roles, track their application progress, and withdraw applications from a new Roles screen. Program managers can review, approve, and reject applications from a dedicated Role Applications management screen, with full email notifications at each stage. An organisation-level setting controls whether existing volunteers can apply for roles outside of onboarding.

Pre-Application Content:

Organisations can now display a welcome message and optional video to new volunteers before they begin their application form. Configure this from Admin Console > Screening > Pre-Application Content to provide context, orientation, or instructions upfront. Supports rich text content and YouTube or Vimeo video URLs.

Chat Auto-Channels:

Chat auto-channels have been expanded to support all entity types. Channels can now be auto-created for programs, activities, roles, and rosters. When a roster is published, a dedicated channel is automatically created and roster volunteers are added as members. New backfill and archive actions allow admins to retroactively create channels for existing entities or remove auto-created channels by type. Configure from Admin Console > Chat Settings.

Form Approval Workflow:

Forms can now require approval before a submission is considered complete. When enabled, admins configure approval and decline email templates with merge tag support. Submitters are automatically notified by email when their submission is approved or declined.

Task Expiry by Completion Date:

Tasks can now be configured to expire based on when they were completed, rather than only by a fixed date. This is useful for tasks like certifications or training that need periodic renewal after completion.

Activity & Role Quick-Add:

Program managers can now add pending volunteers to additional activities and roles directly from a volunteer's incoming profile, selecting multiple items and submitting applications in bulk.

SEEK Volunteer Integration:

We've added a new integration with SEEK Volunteer, Australia and New Zealand's largest volunteer recruitment platform. Organisations can now connect their Volaby account to SEEK Volunteer from Admin Console > Integrations > Apps, publish application funnels as volunteer opportunities, and automatically receive applicants when volunteers apply through SEEK. This integration will be made available to organisations progressively in the near future.

  • Publish Funnels to SEEK: Active funnels can be published to SEEK Volunteer with a single click. Published funnels display a 'SEEK' badge showing the region (AU/NZ) they were posted to.

  • Auto-Publish: Enable auto-publish to automatically post newly created funnels to SEEK Volunteer as opportunities.

  • Receive Applications: When volunteers apply through SEEK, their details are automatically received and a new applicant record is created in Volaby with a pre-verified email address.

  • Manage Connection: View your connected SEEK account details, manage settings, and disconnect the integration at any time.

Fixes:

  • Fixed incomplete reports display on the rosters page.

  • Fixed empty availability not displaying correctly.

  • Removed a hanging zero from the app bar notification badge.

  • Restored the select button on billing pricing plans.

  • Fixed form trigger removal and grouped form item handling.

  • Fixed volunteer reports for check-in/check-out data.

  • The calendar roster view now filters and displays activities across all statuses.
