Release v5.8.2.1

Event applicant holds, session capacity display, customisable incoming volunteer columns, fill to minimum, address resolution

Written by Volaby Support

Features & Enhancements:

Event Mode: Applicant Holds & Capacity:

When applicants sign up for an event activity, they can now select their preferred dates and sessions during onboarding. Their spots are held while they complete their profile and tasks, and when they're approved, they're automatically rostered into their held sessions β€” no manual work required.

Program managers can see applicant holds directly in the roster view, with each applicant's selected sessions shown as orange 'Held' badges. The session capacity display now includes applicant holds in the count, and the event session picker shows capacity progress bars so volunteers can see how many spots remain. Full sessions are automatically hidden from the picker.

Incoming Volunteers: Customisable Columns:

The Incoming Volunteers screen now supports optional columns you can toggle on and off: Email, Phone, Date of Birth, Date Created, and Application Status. You can also add task field columns to display specific task answers inline β€” useful for seeing key information like qualifications or background check status without opening each applicant.

Program managers can also edit and update an applicant's event session selections before approval, giving you full control over where incoming volunteers are placed.

Roster: Fill to Minimum:

A new 'Fill to Minimum' action in the roster Options menu automatically assigns unrostered volunteers to sessions until each session meets its minimum volunteer count. Available volunteers are prioritised first, followed by those with no indication. This saves time on activities with many sessions where you just need to meet staffing thresholds quickly.

Form Responses: Address Part Resolution:

Address fields in form responses now resolve individual components β€” Street, Suburb/City, State, Postcode, and Country β€” from Google Places data. Previously, only the full address string was available. This makes form response exports and prefill mapping more useful when you need structured address data.

Fixes:

  • The Resources grid view toggle in Admin Console now correctly reverts on error instead of showing an incorrect state.

  • My Shifts now displays roster template names as the shift title when a roster template has a custom name.

  • My Shifts location display improved for edge cases where address data was missing.
