Application Questions, Task Badges, Application Reminders, Volunteer Roster Cancellation, Form Date Filtering and more

Written by Volaby Support

Features & Enhancements:

Application Questions:

Activities that require approval can now include custom questions that volunteers must answer when they apply. You can create global questions that appear on every activity application, or activity-specific questions that only appear for a particular activity. Answers are visible when reviewing applications and in the volunteer applications and waitlist tables.

  • Global questions: Configure in Admin Console > Application Questions. These appear on every activity that uses the 'Require approval' joining policy.

  • Activity-specific questions: Add directly when creating or editing an activity, under the Application Questions section. These are shown in addition to any global questions.

  • Reviewing answers: Application responses appear in the application review dialog and as a new column in the Applications and Waitlist volunteer tables.

  • Waitlist support: When an activity's team is full, volunteers joining the waitlist are also prompted to answer the same questions.

Task Badges:

Tasks can now be displayed as visual badges on the roster page next to each volunteer's name. This gives activity leaders and managers an at-a-glance view of task completion status without leaving the roster.

  • Show as Badge: Enable in the Advanced section of any task. Choose an icon and select a badge mode — either Task Completion (badge appears once the task is complete) or Field Value (badge appears when a specific field has a specific value).

  • Roster display: Badges appear next to the volunteer's name on the roster with a colour-coded status indicator — green for completed, orange for pending, and red for incomplete.

Automated Application Reminders:

A new automation type is available in Admin Console > Communications > Reminders & Automations. Application reminders automatically email applicants who still have incomplete tasks after a configurable number of days. The email includes a summary of their outstanding tasks to help them get back on track.

Volunteer Roster Cancellation:

Organisations can now allow rostered volunteers to cancel a roster occurrence themselves from the activity report screen. Enable this in Admin Console > Activity Reporting > Allow Volunteer Roster Cancellation. Activity Leaders, Program Managers, and Admins can always cancel rosters regardless of this setting.

Form Submission Date Filtering:

The Form Responses screen now includes date range pickers, letting you filter submissions by date. The filter also applies when exporting to CSV, so you can pull data for a specific time period.
