Written by Volaby Support

Features & Enhancements:

Checked-In Volunteers:

Program managers now have real-time visibility of who is currently active on the ground. A new 'Checked In Volunteers' widget on the Management Dashboard lists every volunteer who has checked in but not yet checked out, with their activity, session, and check-in time, and refreshes automatically. From each row you can jump straight to the activity report to record attendance.

  • Dashboard widget: Add the 'Checked In' widget to your Management Dashboard to see active volunteers live, updated every minute.

  • Database filter: Filter the Volunteer Database to show only volunteers who are currently checked in.

  • Attendance history: A 'Checked In' status now appears on a volunteer's attendance history while they are checked in to a session.

Bulk Volunteer Actions:

You can now act on many volunteers at once from the Volunteer Database. Turn on the 'Actions' toggle to reveal row checkboxes, select the volunteers you need — your selection is kept as you page through the database — then choose an action from the footer.

  • Communicate: Send a bulk Email or SMS, or start a Chat, with the selected volunteers.

  • Enrol: Enrol selected volunteers into one or more Programs, Activities or Roles in a single step. Activity enrolment requires the selected volunteers to share a common program.

  • Tasks: Mark tasks as Complete or N/A across all selected volunteers at once.

  • Attendance: Check volunteers In or Out in bulk. Volunteers already checked in, or not rostered on a check-in enabled session today, are skipped automatically.

Check-In & Check-Out Notifications:

Two new notification types — 'Volunteer Checked In' and 'Volunteer Checked Out' — let you keep managers informed the moment a volunteer arrives or leaves. Configure recipients (All Admins, Program Managers, Activity Leaders, specific managers, or custom email addresses) under Admin Console > Communications > Notifications. Each email includes the volunteer, activity, program, session, and the check-in or check-out time.

Return to Applicant:

A new 'Return to Applicant' action lets program managers move a volunteer back to the applicant stage from their profile action menu. Their current application is archived, they are removed from all teams and upcoming rosters, and they return to the applicant task stage. They can still sign in to view and update their tasks, and once their profile is complete they rejoin as a volunteer with their history intact.

Role-Based Activity Restrictions:

When creating or editing an activity, the 'Privacy, Joining & Team' step now includes a 'Restrict by role' option. Choose one or more roles and only volunteers who hold at least one of them can see and interact with the activity — useful for targeting activities that require specific qualifications or clearances. Leaving it empty places no restriction.

Roster Reminder Date Ranges:

Bulk roster reminder emails now present a volunteer's upcoming roster dates as a single, compact range — for example, "12 - 15, 17 and 19 August 2026" — grouping consecutive days and showing the month and year only where needed, so reminders are easier to read at a glance.

Fixes:

  • Auto-verification now only sends an application for manual review when a screening answer is incorrect or a screening question has no correct answer defined, rather than whenever auto-verification is turned off.

  • Incoming volunteer filtering now correctly handles Dropdown, Multiple Choice, Checkbox (with AND/OR matching) and Attachment fields, with a loading indicator while results are fetched.

  • A volunteer's checked-in status now updates correctly when they are checked out or their check-in record is removed.

  • Volunteer profiles now link correctly from the dashboard, and profile completion processes only the volunteer's current application.

  • Users are no longer deactivated while they still belong to other tenants.
