Session Limits, Set View Dates, Screening Failure Message, Automatic Activity Applications, Postcode-Only Addresses, and form response improvements

Features & Enhancements:

Session Limits:

You can now cap how many upcoming sessions a volunteer holds at once, and require applicants to choose a minimum number of sessions before they can continue. Both settings live under Admin Console > Operations > Availability, and apply wherever volunteers and applicants pick event sessions for themselves.

  • Limit Upcoming Sessions: Set a maximum number of upcoming sessions a volunteer can be rostered on at any one time. Volunteers can still indicate availability for as many sessions as they like.

  • Allow Backup Sessions: Let volunteers keep selecting past the limit. Anything beyond the cap is saved as availability only and marked 'Backup', so a manager can roster them if a spot opens up.

  • Require Minimum Sessions: Applicants can't confirm their event session selection until they have chosen at least this many. Existing volunteers are unaffected.

When a limit is in place the session picker numbers each selection in the order it was made, so it is clear which sessions will be rostered and which are backups.

Set View Dates:

Roster views normally open from today, which shows an empty week to anyone volunteering for an event, festival or season that is still weeks away. You can now choose the date those views open from instead. Turn on 'Set Roster Start Date' under Admin Console > Operations > Visibility and pick the date - My Elements and My Rosters will open from there. The length of the date range shown doesn't change, so this only affects where the range begins, and volunteers can still move it themselves.

Screening Failure Message:

Applicants who answered a screening question incorrectly were previously told their application was pending review. You can now tell them straight away instead. Under Admin Console > Onboarding & Applications, turn on 'Enable Screening Failure Message' and write the message those applicants should see. While it is on, they see your message at the end of the application and no pending application email is sent to them.

Automatic Activity Applications:

When applicants indicate an activity preference, a manager normally actions each one. You can now have Volaby do it for you. Under Admin Console > Onboarding & Applications > Activities & Availabilities, an 'Automatic Action' dropdown appears once Activity Preferences are enabled:

  • Off: keeps the current manual review behaviour.

  • Auto Add to Team: the applicant goes straight onto the activity team.

  • Auto Add to Waitlist: the applicant goes onto the activity's waitlist.

  • Auto Add to Application: the applicant goes onto the activity's application list.

Postcode-Only Address Fields:

Address fields can now collect a state and postcode instead of a full street address. When editing an Address field, turn on 'Restrict to postcode and state' - volunteers then search for their postcode rather than their street, and only the state and postcode are stored. Useful for anything where a full address is more than you need.

Form Responses - Individual View:

The Individual tab now reads the way your form does. Answers follow the form's own order, sit under their headings as collapsible sections, and conditional follow-up questions are nested under the option that triggered them with a 'Follows on from ...' caption. Repeatable groups are shown entry by entry.

  • View options: A 'View' dropdown above the response switches between 'Answered' and 'All questions', and turns section grouping on or off.

  • Defaults: Set where each option starts under the form's Settings tab > Views.

Email Delivery Options for Forms:

Emails and calendar invites sent from a form can now reach more than one inbox. Under the form's Settings tab, each has its own delivery fields:

  • Email: 'Reply to', 'Cc' and 'Bcc'. The Form Wizard pre-fills them, and you can adjust or add addresses before sending.

  • Calendar Invite: 'Always invite' adds people as attendees on every invite, so the event lands on their calendar. 'Cc' and 'Bcc' send a copy without adding them to the event.

  • Approval Workflow Emails: 'Reply to', 'Cc' and 'Bcc', applied to both the approved and declined emails.

Separate multiple addresses with commas.

Fixes:

  • Admins can now unretire a volunteer who isn't enrolled in any program.

  • Public forms opened on their own link now use the full screen on mobile, with a simplified header.
