Volunteer Matching, Custom Labels, custom onboarding wording, referee reminders, faster volunteer profiles and more

Volunteer Matching:

Some programs pair one volunteer with another, such as a mentor with a mentee or a driver with a passenger. You can now set those pairings up as rules, and Volaby will suggest compatible people while you review an application. Matching is available on the Pro plan under Admin Console > General > Application Actions. Turn on 'Suggest Matches', then add your rules underneath.

A rule sets which two roles get paired and what happens when a coordinator confirms a match. Rules run in order, and the first rule covering the applicant's role is the one used.

  • When role / Suggest: The two roles being paired. Someone in the first role is shown people in the second.

  • In program: Pin the rule to one program, or leave it blank to pair within whichever programs the applicant is already in.

  • Show above: A minimum availability overlap. Anyone scoring below it is hidden.

  • On match: What happens when a coordinator confirms a pairing. Currently 'Create a paired activity'.

  • Schedule and Runs for: The default cadence and length of the activity that gets created.

  • Sessions: The sessions that activity is created with, each with an optional report type.

Coordinators see a 'Find a Match' panel on incoming volunteers a rule covers. Each candidate is scored on how much of their availability overlaps with the applicant's, and the list can be sorted and filtered by day and time. Expanding a candidate shows their details next to a grid of the AM and PM slots both people share.

Picking a match and then clicking 'Approve Profile' opens the activity setup pre-filled from the rule, and enrols both volunteers once you confirm. Approving without picking a match tells you first. Nothing is created automatically.

Custom Labels:

You can now replace Volaby's wording with your own under Admin Console > General > Custom Labels. 'Word Replacements' covers 'Activity', 'Roster' and 'Program' wherever they appear. 'Navigation Labels' renames the items in each menu, grouped by Volunteer dashboard, Volunteering, Management and Admin. Leave a field blank to keep the Volaby default, which is shown in grey behind the field.

Onboarding Wording:

The heading and description applicants see on each onboarding step can now be written in your own words. Under Admin Console > General > Onboarding, Role Applications, Activity Preferences, Simple Availability and Enhanced Availability each have a 'Wording' section with a Heading and a Description field. Leave either blank to use the Volaby wording, or use 'Reset to default' to clear both.

Volunteer Profile:

Volunteer profiles now open faster. Tab counts load up front and each tab fetches its own detail when you open it, rather than everything loading at once.

The Complete Tasks tab also has a new 'Removed Tasks' section. Submissions against a task that has since been deleted from Task Management used to disappear from view. They are now kept in a collapsed section so the volunteer's history stays intact, and they don't count towards the completed task total.

Billing:

The billing page now recognises payment methods other than cards, including bank accounts, BECS and SEPA direct debit, and Link. It also shows the method your subscription will actually be charged to, rather than the first one on the account.

Smaller Improvements:

  • All day calendar invites: The calendar invite step in the Form Wizard has an 'All day' option, which sends the invite as an all-day event instead of asking for a start and end time.

  • Bulk check-out dates: Open check-ins aren't always from today, so the bulk check-out dialog now shows the activity date against each volunteer.

  • Add Volunteer: The dialog no longer asks for a phone number when inviting an applicant.

Fixes:

  • Referee check tasks now offer 'Send Reminder' once invitations have gone out, which chases only the referees who have not responded.

  • Deleting a task category no longer removes the underlying record, so historical task data that referenced it is kept.

  • A missing or cancelled subscription no longer stops the billing page loading.

  • New organisation settings created from the Admin Console now take the correct default.
