When an activity has run its course, needs a temporary pause, or should be removed entirely, Volaby gives you several options. Each has different implications for your data and volunteers.
Closing an activity
Closing is the standard way to end an activity that's finished. It disables the activity, disbands the team, and clears all future rosters.
Open the activity in Activity Management
Select Close Activity from the options menu
Choose a Closure Reason from the dropdown (configured in Admin Console > Operations)
Set the final activity date
Confirm
Closed activities show a "Closed" status. All team member history and past roster data is preserved. You can reopen a closed activity if circumstances change.
Suspending an activity
Suspending is a temporary pause. The team stays intact, rosters are preserved, and the activity can be unsuspended at any time.
Open the activity in Activity Management
Select Suspend from the options menu
Confirm
Use this for seasonal activities, temporary pauses, or activities waiting for a venue or funding decision.
To unsuspend, open the activity and select Unsuspend.
Cancelling individual dates
If the activity is still running but a specific date can't go ahead, cancel that roster instead of closing or suspending the whole activity. See Cancelling a Roster.
Closure reasons
Closure reasons are configured in Admin Console > Operations. Examples include "Completed", "Funding ended", "Not enough interest". The reason you select is recorded in your activity history and available in reports.
Permissions
Admins can close, suspend or delete any activity. Program Managers can do so for activities in their programs. Activity Leaders can suspend their own activities.
