Achievements & Badges

Recognising volunteers automatically or by hand as they reach milestones

Written by Volaby Support

Achievements recognise volunteers as they reach milestones, such as 100 hours or 5 years of service. Volaby awards them automatically, or admins can award them by hand. Volunteers see what they've earned on their home page.

Achievements are available on the Pro plan.

Creating an achievement

  1. Navigate to Admin Console > Recognition > Achievements

  2. Click Add Achievement

  3. Fill in the details, levels and volunteer view settings (see below)

  4. Click Save

Achievement name

The name volunteers see, for example "Service Milestones".

What Volaby measures to decide when a level is reached:

  • Hours: total volunteer hours. Volaby uses check-in and check-out times where they exist, and session report times otherwise. Individual reports and additional hours on the volunteer's profile also count.

  • Years of service: time since the volunteer's record was created.

  • Sessions attended: the number of sessions the volunteer attended.

  • Report field total: the total of a number field on your reports. Choose the field from Report field. A general session report credits every attendee with the full value. An individual report only counts for that volunteer.

  • Manual: never awarded automatically. Admins award each level by hand.

Levels

Each achievement has one or more levels, such as Bronze, Silver and Gold. For each level, set:

  • Level name

  • Threshold: the value needed to reach the level. Thresholds must be above zero and increase from level to level.

  • Certificate: a certificate template to issue with the level, or 'No certificate'. See Certificates.

  • Badge: click Add badge to design one (see below).

A level can award a badge, a certificate, both or neither. Click Add level to add another.

Please note: a level goes live when you save it. Only volunteers who reach it after that date are awarded automatically. To award volunteers who already qualified, use Backfill awards.

Removing a level also removes it from every volunteer who earned it, once you save.

Designing a badge

The badge builder lets you design a badge for each level:

  • Shape: None, Circle, Square, Shield, Rosette or Flower

  • Frame: None, Ring, Dots or Wreath

  • Centre: a Number (with a unit of years, hours, shifts or events), an Icon, Text (up to 3 letters), or a Logo (SVG, PNG or JPG up to 100KB)

  • Colour: choose from Metals, Volaby, Brights and Pastels

  • Fill: Solid, Soft or Outline

  • Extras: Inlay and Ribbon tails

Click Done to keep the badge, or Remove badge to take it off the level.

Volunteer view

  • Enabled: volunteers can earn the achievement and see it on their profile

  • Show before earned: volunteers can see locked levels they haven't reached yet

  • Show progress: volunteers can see how close they are to the next level

Award email

When a level is awarded, Volaby can send the Achievement Awarded email. It includes the badge and a link to download any certificate. Use the Message field to add text specific to this achievement. It appears wherever {{ACHIEVEMENT_MESSAGE}} is placed in the email template. Customise or turn off the template in Admin Console > Communications. See Customising Communications.

The email is sent for automatic and manual awards. It isn't sent for backfilled awards.

How automatic awarding works

Volaby checks enabled achievements every night at about 1 AM local time. Any volunteer who has passed a live level's threshold is awarded that level, and its certificate is issued. Deactivated volunteers are skipped.

Backfill awards

If volunteers qualified for a level before it went live, open the achievement's menu and choose Backfill awards. Volaby shows how many volunteers qualify. Click Backfill to award them.

No emails are sent for backfilled awards.

Awarding by hand

To award a level to one volunteer:

  1. Open the volunteer's profile and go to the Recognition tab

  2. Click Add in the Achievements section

  3. Choose the Achievement and Level, and optionally add a Note (only visible to admins)

  4. Click Award

To award several volunteers at once, select them in the Volunteer Database, click Recognition and choose Award Achievement. Anyone who already has the level is skipped.

Hovering over a badge on a volunteer's profile shows how it was awarded: Automatic, Backfilled or by a named admin.

Managing achievements

From each achievement's menu you can Edit, Disable or Enable, or Delete it. A deleted achievement stops being awarded and is hidden from volunteer profiles.

Permissions

Only Admins can create achievements and award them. Program Managers can see the Recognition tab on volunteer profiles.
